Fleet Management Software Development: GPS Tracking, Trips, Maintenance and Drivers
Fleet software tells you where every vehicle is, what it is doing, what it costs to run and when it needs attention. Off-the-shelf tracking tools cover the basics well. Custom software earns its place when trips, customers, billing and drivers need to work together in one flow that matches your business.
In this guide 8 sections
Most fleet operators I meet already have a tracking device in every vehicle. What they lack is everything around it: who booked the trip, which driver took it, whether it was billed and what it really cost. That gap is where custom software helps.
The principle
Tracking shows where vehicles are. Fleet software earns its keep when it connects that location to trips, people and money.
Core features
| Area | What it covers |
|---|---|
| Live tracking | Map of vehicles, status, alerts for idling or route changes |
| Trips and dispatch | Bookings, assignment, proof of delivery |
| Drivers | Profiles, documents, shifts, performance |
| Fuel and costs | Fuel logs, tolls, expenses per vehicle |
| Maintenance | Service schedules, repairs, document renewals |
| Reports | Utilisation, cost per trip, on-time performance |
Tracking: phones or devices
Driver phones are a quick start for trips and proof of delivery. Hardware telematics devices give continuous location, ignition and fuel data even when the driver's phone is off. Many fleets use both: the device for the vehicle and the app for the job. Maps and routes usually come from a service such as Google Maps Platform. In India, check the vehicle tracking requirements published by the Ministry of Road Transport and Highways for public and commercial vehicles.
The driver app
- Today's trips with addresses and contact details.
- Start, pause and complete trips with one tap.
- Photos and signatures as proof of delivery.
- Fuel and expense entries with receipts.
- Works on low-cost Android phones and patchy networks, syncing when back online.

Ready-made platforms are fine for tracking and standard reports. A custom system makes sense when you bill customers per trip with special rates, pay drivers per job, run your own customer booking app, or need fleet data inside your ERP. The dispatch logic is close to what we describe in how to build a ride-hailing app.
Making the data useful
- Agree on a few numbers that matter: cost per trip, on-time rate, idle time.
- Make sure every trip has a vehicle, driver and customer attached.
- Review exceptions daily: late trips, long idling, unusual fuel use.
- Use the data to plan routes, maintenance and pricing.
Rolling it out
Start with one depot or one customer contract, get drivers comfortable with the app, then extend. Keep the old process running in parallel for a short period, as we explain in our legacy modernisation guide.
How we build it
At Creuto we build real-time tracking and dispatch, as in the FlashNow platform, and connect it to the business systems around it. For stock alongside vehicles, see inventory management software.
Frequently asked questions
What does fleet management software do?
It tracks vehicles in real time, plans and records trips, manages drivers, logs fuel and maintenance, and reports on utilisation and cost per vehicle or per trip.
Do we need hardware GPS trackers?
Not always. Driver phones can share location during trips. Hardware trackers are more reliable for continuous tracking, theft protection and vehicle data such as ignition and fuel, and some rules require them for certain vehicles.
Can fleet software connect to our billing?
Yes. Custom systems can turn completed trips into invoices, apply customer-specific rates and send data to your accounting software.
What about electric vehicles?
EV fleets add battery level, charging sessions and range planning. Many telematics providers expose this data through APIs that a custom system can use.
Should we build or buy?
Buy if you mainly need tracking and basic reports. Build when trips, dispatch, customers, billing and driver payouts must work together in a way the tools cannot support.
Need fleet software built around your operations?
We build tracking, dispatch and driver apps that connect trips, customers and billing in one system.
