Mobile App Backend: When Firebase Is Enough and When You Need a Custom Backend
Almost every app that has accounts, data that syncs or payments needs a backend. The real decision is whether you rent most of it from a platform like Firebase or Supabase, or build your own. Each path changes your cost, speed and how easy it is to grow later.
In this guide 10 sections
When founders ask me what their app will cost, the screens are rarely the surprise. The surprise is everything behind them: logins, data, payments, notifications and the admin panel their team uses every day. That is the backend, and choosing how to build it is one of the first technical decisions that shapes your budget.
The short answer
Start on a managed platform like Firebase or Supabase when your data is simple and speed matters most. Choose a custom backend when your business rules, reporting, integrations or compliance needs are the core of the product.
What a mobile app backend does
The app on the phone is only the front of the shop. The backend is the part your users never see:
- Accounts and login: sign up, OTP or social login, password resets and sessions.
- Data: storing orders, bookings, messages or profiles so they sync across devices.
- Business rules: pricing, stock checks, approvals, refunds and who can see what.
- Files: photos, documents and videos users upload.
- Notifications: push messages, emails, SMS and WhatsApp updates.
- Integrations: payment gateways, maps, CRMs, ERPs and accounting tools.
- Admin panel: where your team manages users, content and support.
If your app needs two or more of these, you need a backend. The question is how much of it you build yourself.
Your three options
| Option | What it is | Suits |
|---|---|---|
| Firebase | Google's managed platform: login, Firestore database, storage, cloud functions and push notifications | MVPs, chat and real-time apps, simple data, small teams |
| Supabase | Open-source platform on PostgreSQL with login, storage, real-time and functions | Apps with relational data that want a managed start and an exit path |
| Custom backend | Your own API (for example Node.js) with your own database on AWS, Azure or Google Cloud | Marketplaces, fintech, ERP-style workflows, heavy integrations, strict compliance |
The Firebase documentation and the Supabase documentation list exactly what each platform includes today. Both change often, so check current features before you decide.
When Firebase or Supabase is the right call
- You need to launch fast. Login, storage and push notifications are ready on day one, so the team spends time on the product instead of plumbing.
- Your data is simple. Profiles, posts, messages and settings fit these platforms well.
- You need real-time updates. Chat, live status and shared lists are built in.
- You have no backend team yet. There are no servers to patch or scale in the early months.
- You are testing an idea. If you may change direction after the first users, a lighter backend is cheaper to throw away.
When a custom backend is worth it
- Complex business rules. Commission splits, dynamic pricing, approvals and inventory across locations are easier to write, test and audit in your own API.
- Reporting. If your team needs filtered reports, exports and dashboards across many tables, a relational database with SQL makes this far simpler.
- Heavy integrations. ERPs, CRMs, logistics partners and payment reconciliation usually need background jobs and retries you control.
- Compliance and data location. Regulated sectors, or laws such as India's DPDP Act, may need you to control exactly where data is stored and who can access it.
- Several apps sharing one system. A customer app, a partner app and a web admin panel all calling one well-designed API is easier to maintain.

Both paths have costs that show up after launch, not in the first quote.
Managed platform costs:
- Usage-based billing. Firestore, for example, charges by reads, writes and storage, so a badly designed screen that reloads a long list can raise your bill. Read the Firebase pricing page and set budget alerts.
- Workarounds. Features the platform does not support well, such as complex search or reports, often need extra services added later.
- Lock-in. Your data model and security rules are written for that platform, so moving away is a project in itself.
Custom backend costs:
- More build time up front for login, storage, notifications and the admin panel.
- Servers, monitoring, backups and security updates that someone must own every month.
- A need for at least one person who understands the backend after launch.

The middle path most apps take
In practice, many of the apps we build use a mix. A common pattern:
- Use a managed service for login, push notifications and crash reporting.
- Keep core business data in a relational database behind your own API.
- Put payments, pricing and anything involving money on the server, never in the app.
- Add real-time features only where users need them, such as chat or order tracking.
For example, a team chat product like Skribe needs reliable real-time messaging, while a booking or delivery app needs strong rules around slots, stock and payments. The backend should match what the product does most.
A checklist to choose
Answer these before you talk to developers. Mostly "yes" points to a custom backend; mostly "no" means a managed platform is likely enough for your first version.
- Will money move through the app, with refunds, splits or payouts?
- Does your team need reports that combine data from many parts of the app?
- Must the app connect to an ERP, CRM or partner systems?
- Do you have compliance rules about where data is stored?
- Will there be more than one app (customer, partner, staff) on the same data?
- Do you expect complex roles and permissions?
Whatever you choose, read our mobile app security checklist and the guide on choosing a cloud provider before launch.
Make sure you own it
The most common backend problem I see is not technical. It is a founder who cannot get into their own Firebase project or cloud account because the previous developer created it. Ask for every account, repository and domain to be in your company's name from the first week.
How we help
At Creuto we pick the backend from your features and growth plans, not from habit. We usually ship a first working version in about 4 weeks, your code and cloud accounts live in your name from day one, and every launch comes with a 60-day warranty. See our mobile app development service.
Frequently asked questions
Does every mobile app need a backend?
No. A calculator, an offline notes app or a simple game can work without one. As soon as you need user accounts, data shared across devices, payments, notifications or an admin panel, you need a backend of some kind.
Is Firebase good enough for a production app?
Yes, for many apps. Plenty of production apps run on Firebase. It suits apps with simple data, real-time features and a small team. It becomes harder when you need complex reports, heavy business rules or tight control over where data lives.
What is the difference between Firebase and Supabase?
Both give you login, a database, file storage and server functions as a service. Firebase uses a document database (Firestore) and is run by Google. Supabase is built on PostgreSQL, a relational database, and is open source, so you can host it yourself later.
Can I move from Firebase to a custom backend later?
Yes, but plan for it. Moving users, data and rules takes real effort, so keep your business logic in one place, avoid spreading database calls across every screen and export your data regularly.
Who owns the backend accounts when an agency builds my app?
You should. Ask for the Firebase project, cloud account and code repository to be created in your company's name from day one, with the agency added as a member. At Creuto that is how we set up every project.
